What is the cost of Viewing Tracker?

  • $50 + GST per office location, plus you pay for the SMS credits that you use. The current rate is .17.4c + GST (20c ea).

What is the average cost per month for SMS credits?

  • It is entirely dependent on the number of tenants booking into your viewings. If you have a large portfolio of available properties you will be sending out a lot more reminder texts (however, keep it in mind that the time you save with the software still outweighs this cost). We are finding the average client is spending around $15-$20 per month in SMS (but please remember, this is purely dependent on how many properties available for rent and the tenant bookings you are getting).

How are properties available for rent added to Viewing Tracker?

  • We can receive your listings automatically from Trade Me. This means you do not need to manually add any properties to Viewing Tracker.
  • Its easy to set up and will always match your pool of available properties.

How long does it take to get up and running with Viewing Tracker?

  • Sign up on our website at wwww.viewingtracker.com/signup – once you sign up we will get all the details we need to get you going and will make contact within a few days once your account is ready with instructions on how to get started and training.

How do I get people to book into our viewings?

  • We have instructions for you to give to your developer if you want our booking forms on your website – www.api.viewingtracker.com/docs/website-integration
  • If you receive an email enquiry or phone enquiry and you are wanting to direct a tenant to book in, send them to www.xyzcompany.viewingtracker.com (xyzcompany is the unique name you signed up with for your business).
  • When a tenant goes to this page they will see a map with a list of properties available for rent and will be able to book in.

What if I don’t control my website (i.e. I am a franchisee), what can we do with the booking forms then?

  • Check with us as we have set up integrations with a few different organisations now. If you put us in touch with who we can speak with then we can look to get the forms integrated.
  • However, a short term work around is encouraging tenants to book in by going to your unique Viewing Tracker link – www.xyzcompany.viewingtracker.com

What is the process when a tenant books into a viewing?

  • The tenant receives an email confirming they have booked in.
  • The agent receives an email telling them someone has booked in.
  • The tenant also gets added to the dashboard and then they receive a text message two hours before the viewing (or whatever time you have set in the settings area) reminding them to turn up

How do prospective tenants find the booking forms? Are they easy to fill in?

  • The feedback is overwhelmingly positive from tenants. They love the fact they are reminded via email and SMS about the viewing.

If no one is booked into a viewing, when will it be removed so no one can book in?

  • One hour before the viewing, if no one is booked in, we will remove it so no one can book into it.

If a tenant doesn’t want to go to a viewing, how do they cancel?

  • The tenant can cancel via the email, reminder text or from the agent cancelling them on the dashboard.

When I set up a viewing, how can I make it get added to my Outlook or Google calendar?

  • Click on your name top right hand corner of menu > My Profile. From here you can select Outlook or Google calendar and below this we have the instructions for you on how to set it up.

Can I bulk text tenants going to a viewing (so I can keep my number private and/or text everyone at once)?

  • Yes you can – on the dashboard, click on the pencil to the right of the viewing you are wanting to action and click ‘Send SMS’ – this will open a chat pad and text everyone at once.
